Officers Roles

Officers are an important part of the Toastmaster's club. Officers maintain various components of the club, so that it is a "well-oiler machine". The officers must work together as a team and encourage all members to learn and grow.

President: Sid

  • Manage the Club's progress towards the Distinguished Club Plan.
  • Encourage members to achieve Competent Communicator, Advanced Communicator (Bronze, Silver, Gold), Competent Leader and Advanced Leader.
  • Make sure officers know and perform their duties.
  • Maintain contact with Area, Division, District and WHQ (World Headquarters).
  • Hold regular club Executive Committee meetings.

    Vice President Education: Michael

  • Plan and schedule club meeting assignments in advance.
  • Get commitment from new members to achieve their CC within one year.
  • Know educational requirements for CC, AC, CL, AL and DTM.
  • Orient new members to the Toastmaster programs.
  • Assign Mentors to new members.
  • Plan and oversee club speech contests, or delegate to Contest Master.

    Vice President Membership: Joyce

  • Welcome guests at each meeting and explain roles.
  • Ask guests to join our club!
  • Conduct membership building programs.
  • Follow up with guests within two days of their attending a meeting.
  • Formally induct new members into the club.
  • Follow up on members with poor attendance.

    Vice President Public Relations: Holly

  • Promote the club.
  • Produce and distribute a club newsletter at least quarterly.
  • Promote membership activities that VP Membership conducts.
  • Publicize upcoming club events.
  • Contact other clubs for joint meetings and to exchange ideas.

    Secretary: Teresa

  • Take detailed notes / minutes of the monthly board meetings.
  • Maintain an accurate member roster.
  • Notify Toastmasters International of Officer Elections within 10 days.
  • Keep Club Charter and other documents.

    Treasurer: Mary

  • Collect and send dues to WHQ by October 1 and April 1.
  • Announce several meetings ahead that dues are due.
  • Submit new member applications and dues to WHQ.
  • Prepare club budget.
  • Keep record of all club financial transactions.

    Sergeant-At-Arms: Marla

  • Arrange the meeting room ensuring that the lectern is in place, banner is displayed, member name cards are out and evaluation forms are distributed.
  • Maintain club equipment and check after every meeting to ensure adequate supplies are available.
  • Schedule meeting location.
  • Track member points toward Toastmaster of Month/year.
  • Display Progress chart and educational material, as needed.
  • Create Name Cards for all new members.
  • During contests, if applicable, collect ballots and tally votes for awards.
  • If applicable, arrange for food service at meal meeting.

    All Officers

  • Attend district-sponsored training.
  • Introduce yourself to guests and arrange for guests to sit with members.
  • Attend club executive officer meetings.
  • Understand educational requirements for CC, AC, CL, AL and DTM.
  • Prepare successor for office.
  • Set a positive example for all club members to emulate.
